This protocol refers to the implementation and organization of the CEE Workshop: On Research Excellence in OM/SCM and is harmonized with recommendations of the Croatian National Institute of Public Health (CNIPH) and the Civil Protection Headquarters. The protocol applies to all premises where the event is held before, during and after the research workshop in order to protect the organizers, staff, lecturers and participants.
The protocol covers each of the following activities of the workshop and premises where they will take place:
· Registration
· Lectures
· Coffee breaks, lunches and dinner
· Spare time and leisure
· Award of certificates
REGISTRATION
A) Statement of the participant that he/she has no symptoms of the disease
Each participant will receive a statement of their health related to COVID-19 by e-mail before arriving to the venue. In the statement, the participant assumes personal responsibility for his/her own health condition and confirms his/her health condition with a signature. Signed statements are submitted at registration to the member of organizing staff.
IMPORTANT: Participants will not be able to enter the registration area without a signed statement associated with the COVID -19 virus.
B) Registration area
If weather conditions allow, the registration process will be organized in the open. If the registration process takes place indoors, the room will be adequately ventilated throughout the duration of registration. All participants should keep distance of 1.5 meters from each other at all time.
There can be only 1 participant at the registration desk at a time. The next participant can get to the registration desk when the previous participant leaves the registration desk.
At the entrance to the registration area, participants are required to disinfect their hands as well as at the exit. Disinfectant will be provided by the organizers.
All organizing staff is required to wear protective masks throughout the registration process.
LECTURES
All participants are required to keep minimal social distance of 1.5 meters from each other during the lectures. Organizers will arrange the lecture room and sitting area that complies with such measures.
At the entrance to the lecture room, participants are required to disinfect their hands as well as at the exit. Disinfectant will be provided by the organizers.
COFFEE BREAKS, LUNCHES & DINNER
A) Organization of refreshment zones
Coffee, water and snacks will be offer during coffee breaks. Refreshment zone will be organized near the lecture room. Staff employed in the refreshment zone will wear protective gloves and masks. In the refreshment zone alcohol-based hand sanitizers will be provided.
B) Serving food and drinks in refreshment zones
In refreshment zones, a larger amount of food and drink will not be prepared at the same time, instead food and drink will be successively placed on the table according to the dynamics of intake by the participants. Drinks will not be served in plastic cups.
All participants are required to keep minimal social distance of 1.5 meters from each other during the coffee breaks.
C) Lunches and dinner
Lunches and dinner will be arranged with a company registered to prepare and serve the food. Food caterer will follow the instructions prescribed by the CNIPH and are contained in the document: “Recommendations for catering during the epidemic Covid-19 ". SPARE TIME AND LEISURE
All participants are required to keep minimal social distance of 1.5 meters from each other during the spare time and leisure activities. Participants will be provided with alcohol-based hand sanitizers during organized trips and field activities. Participants are asked to wear protective face masks in transportation vehicles and required to disinfect their hands when entering as well as at the exit from transportation vehicle. Protective face masks and hand sanitizers will be provided by the organizers.
AWARD OF CERTIFICATES
The award ceremony will be held in the open air. All participants are required to keep minimal social distance of 1.5 meters from each other during the award ceremony.
The organizer will award certificates to the participants, taking care not to have physical contact with the participants. The awarding of certificates will avoid the usual practice at events such as handshakes, kisses, shared hugs and the like.
